Account Management
How to manage your Indo Mail account: profile, signature, recovery email, mobile number, password, 2-Step Verification, sign-in history, notifications, storage, plan changes, closing an account, business users and inactive accounts.
1. Your account in one place
Most account settings live on one page. Sign in, then open Settings from the gear icon or from the menu on a phone. This page explains each setting, what it does and what to do when something cannot be changed on your own yet.
Where a feature is planned and not live, we say so. In those cases our support team can help by email, and we explain how to ask.

3. Profile and display name
Your display name is the name people see in the From line of the mail you send. To change it, open Settings, edit the name box and choose Save. The change applies to new messages and does not alter mail you already sent.
Use your real or well-known name if you are a professional contact. Do not use a name that pretends to be another person or organisation. Impersonation breaks our Terms of Service and can lead to action on the account. Your address, the part before @indoemail.in, cannot be changed after the account is created.
4. Signature
A signature is text added automatically at the end of new messages and replies. Open Settings, type your signature in the Signature box and choose Save. Keep it short: a name, a role and a contact number are enough. Avoid adding private details such as your home address. To stop adding a signature, clear the box and save.
5. Recovery email
A recovery email is a second address, at another provider or organisation, that we can use to contact you about your account. It is optional, but we strongly recommend adding one, because it helps us verify you when you need a password reset and it is where we send warnings about an inactive account.
To add or change it, open Settings, type the address in the Recovery email box and choose Save. Make sure you still control that mailbox. If you lose access to your recovery email, update it before you need it.
6. Mobile number
A mobile number is required for every Indo Mail account. We use it to keep accounts safe, to help prevent fake and abusive sign-ups and to contact you about your account when needed. We do not use it for advertising and we do not sell it.
To update your number, open Settings, enter the new number in the mobile box and save. You cannot remove the number and leave the box empty. If you no longer have access to your old number and cannot sign in, write to support@indoemail.in from your recovery email.
7. Password
Your password is stored only as a bcrypt hash, so nobody at Indo Mail can read it. Repeated wrong attempts are slowed down to stop guessing.
- Choose a long password or phrase of at least 12 characters that you use nowhere else.
- Do not share it. Indo Mail staff will never ask for it, by email, text or phone.
- A self-service reset is not available yet. If you forgot it, or want it changed, write to support@indoemail.in from your recovery email with the subject "Password reset". We verify your details and help you set a new one, normally within 48 hours.
- Change your password straight away if you see an unfamiliar sign-in, if you used it on another site that had a breach, or if you shared it by mistake.
8. 2-Step Verification
2-Step Verification asks for a 6-digit code from an authenticator app in addition to your password. It is the most effective step you can take to protect your account.
- To turn it on, open Settings and choose Turn on 2-Step Verification. Scan the QR code with your authenticator app, or type in the key shown. Enter the 6-digit code and confirm.
- To turn it off, open Settings, choose Turn off and enter your password.
- If you change phones, move your authenticator app to the new phone before you give up the old one.
- If you lose access to your authenticator app, write to support@indoemail.in from your recovery email. We verify your identity before we help.
9. Sign-in history
Open Settings and choose Sign-in history to see when and from which IP address and device or browser your account was opened. If you spot an entry you do not recognise, change your password, make sure 2-Step Verification is on and write to security@indoemail.in. In a business account, administrators can also see the sign-in history of the accounts they manage. Sign-in records are kept for security and legal compliance, including the 180-day log retention required by the CERT-In Directions of 28 April 2022.
10. Notifications
Notifications tell you about new mail even when Indo Mail is closed. They are set for each device separately.
In a browser, choose Turn on new-mail notifications in Settings and allow notifications when asked. On Android, choose New-mail notifications on this phone. To stop alerts on a device, choose Turn off new-mail notifications on this device. If your browser has blocked notifications, allow them for indoemail.in in the browser's site settings.
11. Storage
Storage is shared across Mail, Drive and Photos. The Free plan includes 50 GB, Pro 100 GB, Business 200 GB per user and Enterprise 1 TB per user pooled. To free space, empty Trash and Spam, delete large attachments and remove files you no longer need. To add more, you can buy 100 GB for ₹59 per month or 1 TB for ₹299 per month. Prices exclude 18% GST.
12. Change your plan
Online checkout is not live yet, so plan changes are arranged by email.
| You want to | Write to | Include |
|---|---|---|
| Upgrade from Free to Pro | billing@indoemail.in | Your Indo Mail address and whether you want monthly (₹99) or yearly (₹999) billing |
| Add extra storage or the verified business badge | billing@indoemail.in | Your address and the add-on you want |
| Move to Business or Enterprise | sales@indoemail.in | Your domain, the number of users and your contact details |
| Downgrade or cancel a paid plan | billing@indoemail.in | Your address and the date you want the change to start |
Prices exclude 18% GST, which is shown on your tax invoice. Check your storage use before you downgrade, because you may need to remove files to fit a smaller limit.
13. Close your account
You can close your account at any time. Self-service closing is planned, and until it arrives we do it for you by email.
Write to support@indoemail.in from your recovery email or from the account itself, with the subject "Close account". We will confirm it is really you before we proceed. Before you ask, save anything you need, such as important mail and files in Drive and Photos, because they are deleted.
After we confirm closure, your account stops working and we delete the account and its content within 30 days. We may keep a limited set of records for longer, where the law requires it, such as billing records and sign-in logs.
From release 2.0.2: Settings → Accounts and Import → Delete account. Enter your password to confirm. The account is turned off at once and deleted permanently after 30 days — mail, attachments, Drive and Photos files, contacts and chats. Signing in within those 30 days cancels the deletion. The address is retired and never given to anyone else. Company administrators must first hand over the domain or remove the other mailboxes.
14. Business users and administrators
- Accounts on a business domain are managed by your organisation's administrator through the admin console. Administrators create and remove mailboxes, manage plans and can see sign-in history for their accounts.
- If you cannot change a setting or reset a password on a business account, ask your administrator first.
- When you leave an organisation, the administrator may close or transfer your mailbox. Your personal @indoemail.in account, if you have one, is separate and stays yours.
- Administrators should turn on 2-Step Verification for themselves and ask all users to do the same.
- Business owners can ask for help with setting up a domain at sales@indoemail.in.
15. Inactive accounts
We close accounts that nobody has used for a long time, to protect their owners and to free addresses. An account is inactive when there has been no sign-in for 24 months. Before closing it, we send two warnings to the recovery email on the account, with enough time for you to sign in and keep it. Signing in at any time resets the clock. If you did not add a recovery email, we cannot warn you, so add one now.
From release 2.0.1, a personal @indoemail.in account that is not used for 12 months (no sign-in and no use of the app, website or phone backup) is turned off. Before that we send five reminders — after 335, 342, 349, 356 and 363 days without use, the fifth being the last — to the account's own inbox and to its recovery email. Any use of the account resets the clock. Turning an account off deletes nothing: write to support@indoemail.in within 90 days to turn it back on. An account that stays unused for 24 months is closed as described above. Administrators and accounts on a company's own domain are not turned off; the company decides.
