Business Accounts
How a company sets up Indo Mail on its own domain: sign-up, DNS records and the live check, the admin console, storage, pricing, migration, the verified badge, data ownership, offboarding and 2-Step Verification.
1. What a Business account is
A Business account gives every person in your company an email address on your own domain, for example name@yourcompany.in, together with the rest of the Indo Mail apps. You manage people and settings from an admin console. Your company decides who has a mailbox, and you can remove a mailbox when someone leaves.
Business accounts are provided by INDO CHATS PRIVATE LIMITED under the Indo Mail terms and the business terms agreed at sign-up.
2. Plans and prices
Prices are in Indian rupees and exclude 18% GST.
| Plan | Price | Storage | What is included |
|---|---|---|---|
| Business Starter | ₹0 — free for up to 10 mailboxes | 50 GB per mailbox | Your own domain, admin console, no ads, all Indo Mail apps. Move to Business from the 11th mailbox or for 200 GB per user. |
| Business | ₹149 per user per month | 200 GB per user | Your own domain, admin console, no ads, all Indo Mail apps. |
| Enterprise | ₹299 per user per month | 1 TB per user, pooled across the company | Everything in Business, plus migration help and 24×7 support. Sold by contract. |
Business and Enterprise users never see ads. Advertising is shown only on the Free plan.
Add-ons are available to any Business account: a verified business badge at ₹1,499 per year, and migration at ₹5,000 per domain, covering up to 25 mailboxes. Extra storage can be added at ₹59 per month for 100 GB or ₹299 per month for 1 TB.
Online checkout is not live yet. Until it is, our sales team sets up billing with you directly. Write to sales@indoemail.in. Later, plan payments will go through an RBI-authorised payment aggregator.
3. Signing up with your company domain
You need a domain name that your company controls, and access to its DNS settings. The steps are:
- Choose "Business" on the sign-up page and enter your company name and domain, for example yourcompany.in.
- Choose the username of the first administrator, a strong password, a display name and a mobile number. A mobile number is required. You may add a recovery email.
- Indo Mail creates your domain in a pending state, creates the first administrator account, and signs you in.
- Go to the admin console and add the DNS records shown there. The records are explained in section 4.
- Run the live check. When your domain is verified, its status changes to active and mail for your domain is delivered to Indo Mail.
You can check whether a domain is already registered before you start. Free personal addresses end in @indoemail.in. That domain is reserved for personal accounts and cannot be registered as a business domain.
4. DNS records and the live check
Your admin console lists the exact values for your domain. Records are added where your domain's DNS is managed, which is usually your domain registrar.
| Record | Type | Purpose |
|---|---|---|
| Ownership record | TXT on the root of your domain, in the form indomail-verify=<your code> | Proves that you control the domain. Required. |
| Mail route | MX pointing to mail.indoemail.in | Sends your incoming mail to Indo Mail. Required. |
| SPF | TXT on the root, listing Indo Mail as an allowed sender | Tells other providers that Indo Mail may send for your domain. |
| DKIM | TXT at a selector name under _domainkey on your domain | Holds the public half of your own signing key, so your outgoing mail is signed. |
| DMARC | TXT at _dmarc on your domain | Tells other providers what to do with mail that fails checks. |
Press Check now (or call the verify action) and Indo Mail looks up your records in the public DNS in real time. It shows each of the five checks as passed or not passed, and the time of the last check. Your domain becomes active when the ownership record and the MX record are found. SPF, DKIM and DMARC are strongly recommended, and the console shows their status separately so that you can fix them in your own time.
DNS changes can take from a few minutes to a day to spread. If a check fails, wait a little and try again. Your company has its own DKIM key, generated for your domain. Private keys stay on Indo Mail's servers; only the public key goes in DNS.
5. The admin console
Company administrators see an admin console. It is available only to administrators of a company domain, and never to ordinary users. From there you can:
- See your domain status, the DNS records, the result of the last check and your mailbox and storage use.
- Change the company name shown for your domain.
- Create mailboxes. For each person you set a username, a starting password, a display name and a mobile number. Mailbox creation is limited by the number of users in your agreement.
- Make someone an administrator, or remove that right.
- Disable or enable a mailbox. A disabled person cannot sign in.
- Rename the display name of a person, and reset their password.
- View sign-in history for people in your company, to look into suspicious activity.
You cannot disable or demote your own account, which protects the company from locking itself out. Keep at least two administrators.
6. Storage
Every Business user has 200 GB of storage, shared across Mail, Drive and Photos. Enterprise users have 1 TB each, pooled across the company so that heavy users can use what light users do not. Messages can have attachments up to 25 MB. In Drive, a single file can be up to 5 GB. Your usage is shown in the console.
7. No ads
Business accounts do not show ads. We also do not read your company's mail to target ads or to train AI. Your mail is your company's property, and we only process it to deliver the service, to protect you from spam and malware, and as the law requires.
8. Verified business badge
The verified badge (₹1,499 per year) shows other people that your business is genuine. To receive it, we check that your company exists and that you are authorised to act for it. We may ask for your certificate of incorporation or GST registration, your PAN and proof of control of the domain. The badge applies to your domain and is removed if the checks stop being true, for example if the company is struck off or if the domain is used to send spam. The badge is not an endorsement of your products.
9. Migration
If your company already uses another email provider, our migration service (₹5,000 per domain, for up to 25 mailboxes) moves your existing mail, folders and contacts to Indo Mail. A migration specialist agrees a plan and a time with you. Where possible we copy mail while your people keep working, then switch the MX record in one planned step so that no mail is lost. Larger domains are quoted on request. Enterprise customers have migration help included.
10. Data ownership
Your company owns its data. Indo Mail is a processor of that data on your instructions, for the purposes of the Digital Personal Data Protection Act, 2023. We do not sell it, we do not use it for advertising and we do not train AI on it. Your data is stored in India, on Amazon Web Services in Mumbai, encrypted at rest, with daily backups.
Employees remain responsible for their own use under your company's policies. If the law requires us to share data with an authority, we follow the process described in our law-enforcement guidelines and, where allowed, tell the company administrator.
11. Leaving, and offboarding people
When a person leaves your company, an administrator can disable their mailbox on the day they go. This blocks sign-in at once. Before deleting a mailbox, the administrator can arrange for another person to take over important mail, for example by asking the person to forward it, or by saving files from the Drive. Keep the mailbox disabled while this is done.
When the company leaves Indo Mail, an administrator can ask us for an export of mail data before the contract ends. Move your MX record to your new provider only after you have confirmed that everything has been copied. After the contract ends and any notice period passes, we delete mailboxes and files from live systems and from backups within the periods described in our privacy policy. We may keep records we must keep by law, such as invoices and sign-in logs, for the period the law requires. sign-in logs are kept for one year (CERT-In requires at least 180 days in India; the DPDP Rules, 2025 require one year).
To start offboarding for your company, write to sales@indoemail.in.
12. 2-Step Verification
2-Step Verification adds a code from an authenticator app to the password. It is live now for every account, including Business accounts. Each person can turn it on in Settings, scan the QR code with an authenticator app, and enter the six-digit code to confirm. From then on, sign-in needs the password and a fresh code. A person can turn it off again by confirming their password.
We strongly recommend that every administrator turns it on at once. Administrators can also see sign-in history in the console, which shows when and from which device people signed in.
13. Support
Business customers use support@indoemail.in. Enterprise customers have 24×7 support and the contact details given in their contract. Sales and billing questions go to sales@indoemail.in and billing@indoemail.in.
