Community Guidelines
The rules everyone must follow when using Indo Mail, including mail, Drive share links, Business Profiles and ads, and what happens when those rules are broken. They apply to every personal, business and enterprise account.
1. Why these guidelines exist
Indo Mail is an email service run by INDO CHATS PRIVATE LIMITED from India. Email lets people who have never met reach each other in seconds, so trust is the most valuable thing the service has. These Community Guidelines explain what you may and may not do with Indo Mail so that every inbox stays useful and safe.
The guidelines sit alongside our Terms of Service, Privacy Policy, Acceptable Use rules and advertising policies. If there is a conflict, the stricter rule applies. They cover every part of an Indo Mail account where your content can reach another person: email you send, files and albums you share through Drive and Photos links, Business Profiles, ads created in Ads or Ad Manager, and any listing or product data you publish through Merchant Center or Manufacturer Center.
We do not read your mail to enforce these rules in the ordinary course. Enforcement relies on automated security signals (such as sending volume, bounce rates and known malicious links or files), reports from users and other mail providers, and lawful orders. Section 9 explains how this works.
2. Who these guidelines apply to
They apply to every person and organisation that holds or uses an Indo Mail account, whether on the Free, Pro, Business or Enterprise plan. Business and Enterprise administrators are responsible for making sure the people they add to their domain follow them too.
You must be at least 18 years old to create an Indo Mail account. Accounts are personal: do not sell, rent or transfer an account, and do not create accounts in bulk or by automated means.
3. Spam and unsolicited bulk mail
Spam is the single biggest threat to email. Indo Mail will not be used to send it. Do not send bulk or commercial messages to people who have not agreed to receive them.
- Do not buy, rent, scrape or harvest email address lists, and do not mail lists you cannot show consent for.
- Do not send the same or nearly the same message to large numbers of recipients who do not know you.
- Do not use misleading subject lines, hidden text, or forged headers to get past filters.
- Do not create multiple accounts, or rotate between accounts, to get around the daily send limit of 500 messages per account.
- Do not use Indo Mail to send mail on behalf of a third party's marketing campaign unless you are that sender and meet every rule in section 4.
- Do not send chain letters, pyramid schemes or 'forward this to ten people' messages.
4. Rules for bulk and business senders
Businesses use Indo Mail to talk to customers, and that is welcome. If you send newsletters, receipts, alerts or offers to many people, you must meet all of these conditions:
- Consent. Mail only people who asked to hear from you, or who have an existing relationship with you and would reasonably expect the message. Keep a record of when and how each person agreed.
- Clear sender identity. Use your real business or personal name in the From line. Include a working postal address or registered office in commercial messages.
- Easy unsubscribe. Every marketing message must contain a simple way to stop receiving it. Act on every unsubscribe request within 10 days and never charge for it or ask for more than an email address.
- Honest content. The subject line must reflect what is inside. Offers must state real prices in INR for Indian recipients, including any taxes or fees.
- List hygiene. Remove addresses that bounce or complain. High bounce or complaint rates harm every Indo Mail user's delivery and will trigger sending limits.
- Domain authentication. Business accounts using their own domain must keep the SPF, DKIM and DMARC records we provide in place, so receivers can confirm the mail is really from you.
If you send to recipients outside India, you must also follow the anti-spam laws of their country, such as CAN-SPAM in the United States and CASL in Canada. Large-volume newsletter sending is better suited to a dedicated bulk platform; Indo Mail is designed for person-to-person and business correspondence.
5. Deception, phishing, impersonation and fraud
Do not use Indo Mail to trick people. This includes:
- Phishing: messages or share links that try to collect passwords, OTPs, UPI PINs, card numbers, bank details, Aadhaar or PAN details, or other sensitive data under false pretences.
- Impersonation: pretending to be another person, a company, a government body, a bank, a court, the police or Indo Mail itself. This covers display names, sender addresses, signatures, logos, Business Profiles and ads. Parody and commentary are allowed only where it is obvious to any reader that the account is not the real person or organisation.
- Fraud and scams: fake invoices, requests to change bank details, fake job offers that ask for fees, fake KYC or refund requests, lottery and prize scams, investment and crypto scams, loan scams, and 'digital arrest' threats.
- Misuse of Wallet: using UPI payment-request links or QR codes to collect money for goods or services that do not exist or that you do not intend to provide.
- Account takeover: accessing, or trying to access, an account that is not yours.
6. Malware and attacks on the service
- Do not send or share viruses, ransomware, spyware, trojans, keyloggers or any file or link designed to harm a device or steal data.
- Do not use Drive share links to host malware, phishing pages or command-and-control files.
- Do not probe, scan or test the security of Indo Mail without permission. Security researchers should write to security@indoemail.in first.
- Do not overload, interfere with, or try to bypass the limits, filters, rate limits or access controls of the service.
- Do not use the service to attack other networks or systems, including by sending mail bombs or by relaying abuse.
7. Harmful and illegal content
The following content is not allowed anywhere on Indo Mail, whether in mail, shared files, Business Profiles or ads:
| Type of content | What is not allowed |
|---|---|
| Child sexual abuse material | Any image, video, text or link that sexualises a child. Zero tolerance: accounts are terminated, material is preserved and reported to Indian authorities. See our Child Safety policy. |
| Non-consensual intimate imagery | Sharing, or threatening to share, private sexual or nude images of a person without their consent, including manipulated or synthetic images. Complaints are acted on within 24 hours. |
| Harassment and threats | Repeated unwanted contact, threats of violence, stalking, blackmail, sextortion, doxxing (publishing someone's private details), and encouraging others to harass a person. |
| Hate | Content that attacks or dehumanises people because of religion, caste, race, ethnicity, nationality, sex, gender identity, sexual orientation, disability or similar characteristics. |
| Violent extremism | Content that promotes, recruits for, funds or praises terrorist or violent extremist groups or acts. |
| Self-harm promotion | Content that encourages suicide or self-harm. Discussion aimed at support and recovery is allowed. |
| Illegal goods and services | Sale or promotion of drugs, weapons, explosives, wildlife products, counterfeit goods, stolen data, forged documents, or any service that is illegal in India. |
| Harmful misinformation | Deliberately false content likely to cause real-world harm, such as fake medical cures, false emergency alerts, forged government notices, or content that could incite violence or disturb public order. |
| Intellectual-property infringement | Sharing copyrighted works, or using trade marks, without permission where the law does not allow it. See our Copyright Policy and Trademark Policy. |
| Privacy violations | Sharing another person's identity documents, financial details, health records or private communications without lawful reason. |
This list follows the categories in Rule 3(1)(b) of the Information Technology (Intermediary Guidelines and Digital Media Ethics Code) Rules, 2021 (as amended), and the relevant offences under the Bharatiya Nyaya Sanhita, 2023 and the Information Technology Act, 2000.
8. Extra rules for Drive links, Business Profiles and ads
Some Indo Mail apps publish content to people beyond your contacts, so they carry extra rules.
- Drive and Photos share links: a public link is publishing. Do not use share links to distribute pirated films, music, software, books or courses, or any material listed in section 7. Links reported for abuse can be disabled while we review them.
- Business Profiles: the name, address, phone number, photos and description must belong to a real business that you run or are authorised to represent. Do not create profiles for businesses you do not control, and do not post fake reviews or fake opening hours. The verified business badge is given only after checks and can be removed if the details become untrue.
- Ads: every ad is reviewed before it runs. Ads must be truthful, state prices in INR, and link to a working page that matches the ad. Political ads are not accepted. Ads for prohibited goods, misleading financial products, unapproved medical claims, gambling that is illegal where shown, and adult content are refused. Ads are shown only on the Free plan and are placed by context, never by reading mail or using personal data.
- Merchant Center and Manufacturer Center: product data must be accurate, legal to sell, and priced honestly.
9. How we find problems
Indo Mail does not read your mail to look for rule breaks in the ordinary course. We find problems through:
- automated security checks that look at signals such as sending volume, bounce and complaint rates, sign-in patterns, and known malicious links or file signatures;
- SPF, DKIM and DMARC results on incoming mail, which route forged mail to Spam;
- reports from users to abuse@indoemail.in and from other mail providers;
- pre-publication review of ads and checks on Business Profiles and badges;
- orders from courts and lawful requests from authorised government agencies.
When a report needs human review, a trained member of our Trust & Safety team looks only at the material needed to decide the case. See our Trust & Safety page for more detail.
10. Enforcement ladder
We aim to be proportionate. The action we take depends on how serious the harm is, whether it was deliberate, and the account's history. Most first-time issues get a warning. Severe harms skip straight to termination.
| Step | Action | Typical reason |
|---|---|---|
| 1 | Warning by email to the account, explaining the rule broken | First minor breach, such as a small mailing without an unsubscribe link |
| 2 | Content removal or link disabled | A reported Drive link, Business Profile detail or ad that breaks the rules |
| 3 | Sending limits lowered, or outgoing mail paused | High bounce or complaint rates, suspected compromised account, repeated spam |
| 4 | Temporary suspension of the account or a feature | Repeated breaches after warnings, or serious breaches while we investigate |
| 5 | Permanent termination | Child sexual abuse material, violent extremism, deliberate phishing or fraud, malware distribution, or repeated serious breaches |
Where an account appears to be hacked rather than misused by its owner, we will lock it and help the owner recover it instead of treating them as the wrongdoer. For paid plans, termination for a serious breach does not create a right to a refund of the unused period, except where consumer law requires one. Where the law requires, we preserve information and report to the authorities.
11. Appeals
If we take action on your account or content and you think we got it wrong, you can appeal.
- Reply to the enforcement email, or write to support@indoemail.in with the subject 'Appeal' and your Indo Mail address.
- Explain why you believe the decision was wrong and include any evidence, such as proof of consent for a mailing list.
- A different reviewer from the one who made the first decision will look at your appeal.
- We aim to reply within 7 days. If we reverse the decision, we restore the content or access as soon as possible.
- If you are still not satisfied, you may complain to our Grievance Officer, Salena, at grievance@indoemail.in. The Grievance Officer acknowledges complaints within 24 hours and resolves them within 15 days, as the IT Rules, 2021 (as amended in February 2026) require. You may also approach the Grievance Appellate Committee set up under those Rules.
Appeals are not available for termination due to child sexual abuse material, though you may still write to the Grievance Officer.
12. Reporting a breach
Anyone, including people who do not have an Indo Mail account, can report a breach of these guidelines.
- Send the report to abuse@indoemail.in.
- Attach the offending message as a file (.eml) if you can, or forward it with full headers. For a share link, Business Profile or ad, include the full link.
- Say briefly what is wrong. Mark child-safety and intimate-imagery reports 'URGENT' in the subject line.
- Copyright and trade mark complaints go to legal@indoemail.in with the subject 'Copyright notice' or 'Trademark notice'.
- If you are in immediate danger, contact the police on 112. For online financial fraud in India, call the national cybercrime helpline 1930 or report at cybercrime.gov.in.
13. Changes to these guidelines
We will update these guidelines as the service and the law change. If a change affects what you may do with your account in a significant way, we will tell you by email before it takes effect. The current version is always published on indoemail.in.
This document is governed by the laws of India.
