Indo Mail User Guide
A plain-English guide to Indo Mail: writing and sending, attachments, secure mail, labels and folders, search, filters, signatures, aliases, importing your old mail, using another mail app, and keeping your account safe.
Frequently asked questions
- Is Indo Mail free? Yes. Every person gets a free @indoemail.in address with 50 GB shared across Mail, Drive and Photos, and every everyday feature. Paid plans add more storage and business tools.
- Can I use Indo Mail in a phone mail app? Yes, over IMAP and SMTP with an app password. See “Use Indo Mail in another mail app”.
- Can I send a private message to someone who is not on Indo Mail? Yes. Use Secure mail: the person opens it with a link, and you can require a one-time code and set when it stops working.
- Can I send mail from a second address? Business accounts can add aliases on their own domain and pick one as the sender when writing.
- Will my old mail come across? Yes. Use “Bring everything from your old email” to copy it in, or upload .mbox or .eml files.
- How do I stop a sender? Block them, and their mail goes to Spam. To make sure a sender never goes to Spam, add them as a safe sender.
Write and send a message
- Press Compose. Add people in To. Press “Cc Bcc” to show the Cc and Bcc rows. People in Cc are seen by everyone; people in Bcc are hidden from each other.
- Start typing a name or address and pick from the suggestions. Suggestions come from your contacts, people you wrote to recently, and colleagues on your business domain. A contact label shows as a group you can send to in one tap.
- Use the formatting bar for bold, lists, quotes and links. Drag a file onto the window, or press the paperclip, to attach it. Press the camera to scan a paper document and attach it.
- Press Send. For a few seconds you can press Undo if you change your mind. Use the small arrow next to Send to schedule it for later.
- Your draft is saved automatically while you write, so nothing is lost.
Priority and read receipts
- In the composer, open “More options” to mark a message High or Low priority. The person sees the priority on the message.
- In the same menu, turn on “Ask for a read receipt”. When the person opens your message and agrees, you get a note, and your copy in Sent shows “Read on …”.
- A read receipt is a courtesy — the person can choose not to send one, and some mail apps cannot send one at all.
Reply, reply all and forward
- Open a message and press Reply, or open the message menu for Reply all and Forward.
- Forwarding keeps the original attachments; remove the ones you do not need before sending.
- A conversation is kept together as one thread, with the newest message at the bottom.
Attachments
- Open a message to see its attachments. Press to preview, download, or “Save to Indo Drive” (pictures go to Indo Photos).
- A calendar invite (.ics) can be added to Indo Calendar, and a contact card (.vcf) to Indo Contacts, from the banner shown on the message.
- To free space, you can remove an attachment from a message you already have — the message stays, and the copy the other person has is not affected.
- Send a large file by sharing it from Indo Drive with a link instead of attaching it.
Secure mail to anyone
- In the composer, press the lock to turn on Secure mail. The message stays on Indo Mail; everyone you send it to, on any email service, gets a link to read it.
- Choose when the link stops working, and optionally require a one-time code that we email to each person.
- The person can reply with the same protection. You can remove access later from the message in Sent.
Private notes on a message
- Open a message, then its menu, and choose “Add private note”. The note stays with the message for you only and is never sent to anyone.
- A message with a note shows the note at the top when you open it.
Labels and folders
- Use labels to organise mail by colour and name. One message can have several labels. Create a label from the side menu or in Settings → Labels.
- Move a message with its menu, or by dragging it. Deleting a message moves it to Trash, which is emptied after 30 days.
- Spam is filled automatically. Open a message there and press “Not spam” to move it back and trust the sender.
Search your mail
- Type in the search box. Several words find mail that contains all of them.
- Use OR between words to find either one, and put a phrase in "quotes" to find it exactly.
- Put a minus before a word to leave it out, for example invoice -draft.
- Narrow with operators: from:, to:, subject:, has:attachment, is:unread, is:starred, label:name, after:2026-10-01 and before:2026-10-31.
Filters
- Go to Settings → Filters. A filter looks at incoming mail and does something with it, such as apply a label, archive it, mark it important, or send it to a folder.
- Filters run from top to bottom. Use the arrows to change the order.
- Turn a filter off without deleting it, or set “stop here” so filters below it do not run on the same message.
Block senders and safe senders
- Block an address or a whole @domain in Settings → Filters. Their mail goes to Spam, and existing mail from them is moved there too.
- Add a safe sender so their mail never goes to Spam. A message carrying a virus is still stopped.
Signature and templates
- Set a signature in Settings. It is added to the bottom of new messages.
- Save a message you send often as a template, then start new mail from it. Changing a message does not change the template.
Vacation reply and forwarding
- Turn on an away message in Settings with a start and end date; people who write to you get it once.
- Forward a copy of incoming mail to another address in Settings. We send a code to that address first, and forward only after you enter it. Loops are prevented, and spam is never forwarded.
Extra addresses (aliases) for business
- On a business account with your own domain, add aliases such as sales@ or accounts@ in Settings → Accounts.
- Mail to an alias lands in your inbox, and you can choose the alias as the sender when you write.
Save a folder to Indo Drive
- In Settings → Accounts, save all the mail in a folder as a .zip of .eml files in Indo Drive, to keep it outside your mailbox.
- You can choose to move the saved messages to Trash afterwards.
Bring mail and contacts from your old email
- Open “Bring everything from your old email”. Sign in to your old account with an app password to copy your mail straight across. The password is only used while the copy runs and is never saved.
- You can also upload .mbox or .eml files, a .vcf or .csv of contacts, and an .ics calendar.
- Running the copy again is safe — mail already copied is skipped.
Use Indo Mail in another mail app
Indo Mail works in phone and desktop mail apps over IMAP and SMTP. Create an app password in Settings → Mail apps and use it instead of your account password, so 2-Step Verification keeps protecting your account.
- Incoming (IMAP): server mail.indoemail.in, port 993, SSL/TLS.
- Outgoing (SMTP): server mail.indoemail.in, port 465 (SSL/TLS), or port 587 (STARTTLS).
- User name: your full Indo Mail address. Password: the app password.
- On iPhone, iPad and Mac you can download a set-up profile from the same page to fill everything in for you.
Keep your account safe
- Turn on 2-Step Verification, add a passkey, and keep a recovery email and phone number up to date, in Settings → Accounts and in Indo Shield.
- You get an alert when there is a new sign-in. Indo Shield lists your devices and lets you sign out of one, and shows app passwords and keys you can remove.
- Never share a one-time code, UPI PIN or card details. Report fraud in India at 1930 or cybercrime.gov.in.
