Supplier Code of Conduct

Business done the right way.

The minimum standards for every business that works with Indo Mail — on honesty, people, safety, data and the planet — grounded in Indian law.

Last updated 16 October 2026

1. Why this Code

INDO CHATS PRIVATE LIMITED builds Indo Mail on trust. We expect the same honesty, fairness and care from every business that supplies us. This Code sets the minimum standards for suppliers, contractors, consultants, agencies, resellers and their own suppliers (“suppliers”).

Where the law sets a higher standard, follow the law. Where this Code is stricter than local law, follow this Code.

2. Obey the law

Comply with every law that applies to your business, including laws on labour, tax, competition, data, the environment, health and safety, and trade. Keep the licences and registrations your business needs.

3. Business integrity

  • No bribery or corruption, of public officials or private persons, directly or through others. Giving or offering a bribe is an offence under the Prevention of Corruption Act, 1988 (as amended in 2018), including for companies.
  • No gifts, meals, travel or hospitality to our employees beyond token items worth less than ₹1,000, and never during a tender.
  • No facilitation or “speed” payments.
  • No fraud, money laundering (Prevention of Money-laundering Act, 2002) or help with tax evasion.
  • Keep accurate books and records.

4. Conflicts of interest

Tell us in writing if any of our employees, or their family members, owns, works for or benefits from your business, or if anything else could affect your independence.

5. Fair competition

Compete fairly. Do not fix prices, rig bids, share markets or exchange sensitive information with competitors, which the Competition Act, 2002 prohibits.

6. Human rights and labour

  • No child labour. Do not employ children below 14, nor adolescents below 18 in hazardous work, under the Child and Adolescent Labour (Prohibition and Regulation) Act, 1986.
  • No forced, bonded, trafficked or prison labour (Bonded Labour System (Abolition) Act, 1976). Workers keep their own identity documents and may leave with reasonable notice.
  • Pay at least the minimum wage and all benefits on time, in line with the Code on Wages, 2019 and the Code on Social Security, 2020, with equal pay for equal work.
  • Keep working hours and overtime within the law; overtime is voluntary and paid at legal rates.
  • Respect freedom of association and collective bargaining under the Industrial Relations Code, 2020.
  • No discrimination by caste, religion, gender, sexual orientation, disability, age, origin or any other protected trait. Provide reasonable accommodation under the RPwD Act, 2016.
  • No harassment. Where it applies, constitute an Internal Committee under the Sexual Harassment of Women at Workplace (Prevention, Prohibition and Redressal) Act, 2013.

7. Health and safety

  • Provide a safe and healthy workplace under the Occupational Safety, Health and Working Conditions Code, 2020: safe equipment, fire safety, first aid, drinking water and clean toilets.
  • Train workers and give them protective equipment free of charge.
  • Report serious accidents as the law requires.

8. Data, privacy and security

  • Protect personal and confidential information, following the DPDP Act, 2023 and our data processing terms.
  • Report security incidents to security@indoemail.in at once, and within 6 hours at most.
  • Never ask our users for passwords, OTPs or payments, and never contact them except as our contract allows.
  • Do not use our data to train AI models or for your own marketing.

9. Intellectual property

Respect our intellectual property and that of others. Use only licensed software and content, and follow our brand guidelines when you mention Indo Mail.

10. Environment

  • Follow environmental laws and permits.
  • Use energy, water and materials efficiently and cut waste and emissions.
  • Dispose of electronic waste only through authorised recyclers under the E-Waste (Management) Rules, 2022, and plastic under the Plastic Waste Management Rules, 2016.
  • Avoid hazardous substances restricted by law.

11. Responsible sourcing

Know where your materials come from. Do not knowingly use minerals that fund armed conflict, and pass this Code on to your own suppliers.

12. Sanctions and trade

Follow Indian and applicable international sanctions, export controls and customs laws. Do not involve us in trade with sanctioned persons or countries.

13. Checks and audits

  • We may ask you to complete a self-assessment and show records, and we may audit compliance with reasonable notice.
  • Fix problems we find within an agreed time. We support improvement, but we may end the relationship for serious or repeated breaches.

14. Speak up

  • Report concerns about our employees or suppliers to legal@indoemail.in, or to our Grievance Officer at grievance@indoemail.in. You can report confidentially and anonymously.
  • We do not allow anyone to be punished for raising a concern in good faith.
  • We look into every report and act on what we find.

15. Acknowledgement

By registering as a supplier or accepting a purchase order, you confirm that you have read this Code, that your business follows it, and that you will tell us at once if it cannot.
